How do I get access to PeopleSoft/Recruiting?

Non-employees or affiliate employees of ǿմý must contact their department Human Resource Administrator (HRA) to request access.

How do I provide a budget justification to the job opening for approval?

Budget justifications may be provided within the department level approval process. The HRA will use the comments section when the pending approval notification reaches them.

The candidate failed to submit a complete application. What can I do?

Departments may choose to contact individuals whose applications are incomplete. If candidates fail to submit completed applications during the posted period, they will be disqualified and not considered for the position.

A candidate is contacting me to apply directly, what should I do?

All applicants must apply online for each position. If applicants continue to experience problems applying through our online website, you can direct them to the Human Resources Department at 216.368.6964 or contact the Help Desk at 216.368.HELP for technical assistance.

Can I extend the posting date of my job?

If you wish to obtain a larger applicant pool, you can extend the posting date of the job, by notifying your Employment Specialist in the Human Resources Department.

I created a job and “saved as draft” but now cannot find it. Where did it go?

Go into PeopleSoft, select tile “CW Recruiting,” select “Search Job Openings,” type in the “job number” and use the drop down menu to change the job status from “Open” to “Draft” and then select “Search.” The job should appear now.

I had 50 people apply to my job. Do I have to interview all 50?

As a hiring manager you do not have to interview all 50 applicants. You will first examine the applications, resumes, and cover letters to narrow down the top qualified candidates. However, you must interview all internal applicants that meet the minimum qualifications as stated on the job description.

How do you view an applicant’s resume?

To access an applicant’s resume please follow the following steps
i. Log into HCM and click on the “CW Recruiting” tile
ii. Click search job openings on the left hand side and type your 5-digit Job ID into the “Job Opening ID” box
iii. Click on the corresponding job opening to bring up a list of applicants
iv. Identify the row with the corresponding applicant’s name and click on the paper icon in that corresponding row under the “Resume” column

How do you view an applicant’s references?

To view an applicant’s references, you will need to login to your HCM account. Next, click on the ‘CW Recruiting’ tile and search for the job that you are hiring for. Click on the job and you should see the list of applicants. Select the applicant whose references you would like to view. Click the ‘Applicant Data’ tab and then ‘References’. You should now be able to see the applicant’s references.

My job opening is underutilized for minorities or women. What does this mean?

ǿմý completes an annual Affirmative Action Plan. This plan establishes university-wide goals for increasing the diversity in each department and school by increasing the diversity of the applicant pool. We seek to employ a qualified, diverse workforce that reflects the global population that we serve. Each member of the university who participates in the hiring process shares responsibility for the affirmative action goals and should be aware of the university’s commitment to diversity when involved in outreach, recruitment, interviewing, and hiring from a qualified and diverse candidate pool. The Hiring Manager is responsible for coordinating with the Office for Diversity, Equity and Inclusive Engagement ODEIE and the central HR Employment Office regarding action steps necessary to attract underrepresented protected groups. Once the preferred candidate is selected, then Affirmative Action approval must be obtained by ODEIE.

Can I discuss salary with a candidate during an interview?

Due to different state and local laws, it is recommended that you discuss salary information with your assigned employment specialist before communications with the candidates, or you can refer the candidate to discuss salary details with the employment specialist directly. The general salary range is listed in the job posting and this may be reiterated in the job interview process.

Can I check references or should HR be contacting references for feedback?

The Employment Specialist provides services to the hiring department and will check employment references. However, the hiring department may want to obtain the reference feedback directly and then summarize the conversation for submission to the employment specialist. The university will require at least two professional references, preferably current and past supervisors (no personal references will be accepted).

What is included in the relocation reimbursement program?

The Hiring Department who is recruiting out-of-town executive staff or senior staff may be able to ease the transition and enhance the job offer by providing reasonable assistance through reimbursement of expenses and spouse or certified domestic partner relocation assistance. Who do I contact to get an Employee ID for a new hire?

The Human Resources Department will begin generating a new employee’s ID on the Thursday prior to their start date. New employees are provided their employee ID when they attend the orientation which is held on Mondays each week (unless a holiday falls on a Monday).

Who do I contact to get a network ID for a new hire?

The employment specialist will provide the new employee with instructions to activate their network account. The new employee will also be reminded of instructions to activate their network account when they attend the orientation which is held on Mondays each week (unless a holiday falls on a Monday).

Who do I contact to get an employee ID badge for a new hire?

When the new employee visits the Human Resource Service Center to complete paperwork, the employee will be given authorization and instructions to visit Access Services regarding parking arrangements and obtaining an employee badge.

What if I need a position that is fully remote and outside of the state of Ohio?

An out-of-state employee may be approved in very limited situations when warranted due to exceptional and unique circumstances. Due to the significant incremental compliance and financial cost to the university for having an out-of-state employee, a one-time fee of $10,000 will be assessed against the hiring department for each new out-of-state employee. This fee, which will help to cover
legal fees, registration fees, and support staffing, is non-negotiable and unable to be waived. It is important to contact the Controller’s Office prior to making your decision to employ any individuals out-of-state.
