Music Office + Concierge Team

Supervisor: Jennifer Wright <jmh207@case.edu>
Note: This position is open to music majors or minors. The first year of employment is spent training and shadowing 2nd, 3rd, 4th year students.

Description: This role combines organizational, administrative, and interpersonal skills to ensure the smooth and efficient operation of the music office. The concierge team handles various administrative tasks, such as organizing office files, maintaining calendars, handling correspondence, and serving as the point of contact for students, faculty, and staff. The team provides direct support or referrals to campus resources and serves as the front line of customer service for the Department of Music, acting as a central source of knowledge for campus and community information. Responsibilities include office coverage, project assistance, and support for events like Recital Class, campus visits, open house programs, audition days, information fairs, and event promotion.

Responsibilities:

  • Administrative Support: Organize and maintain office files, calendars, records, and databases. Handle emails and phone calls. Assist with training and provide information on office services and policies.
  • Events: Assist in planning and organizing departmental events, campus visits, and activities. Coordinate logistics, including venue booking, supplies, and refreshments.
  • Recruitment: Support undergraduate recruitment by attending open house programs, audition days, campus visits, information fairs, and special events.
  • Marketing/Publicity: Develop and execute marketing strategies to promote concerts and events. Create content for publicity materials such as flyers, posters, event descriptions, programs, news stories, and e-communications. Manage social media accounts, creating engaging posts and ensuring brand consistency. Use design software (e.g., Canva) to develop layouts.

Office Hours: Weekday business hours with a schedule that may fluctuate based on campus and departmental activities.

Who We're Looking For: We’re seeking individuals with a friendly, personable demeanor and excellent customer service skills. The ideal candidate should be knowledgeable about campus policies and procedures, a team player, and available to work flexible hours. A positive, professional attitude when interacting with the public is essential.

Candidates should be energetic, detail-oriented, and passionate about working with people. Strong organizational skills, problem-solving abilities, and a thorough understanding of office operations are key. Proficiency in Microsoft Word, Excel, social media, and design/content creation tools is highly desirable. The role requires managing multiple tasks in a fast-paced environment, sharp writing skills, and a commitment to confidentiality in line with university policies. This position often extends beyond two semesters, with opportunities for increased responsibility.


Music Operations + Events Team

Supervisor: Nicholas Strawn <nas158@case.edu>

Description: Provide support services for facilities operational activities, ensemble rehearsals, and/or concerts. Follow/enforce policies, ensure smooth building operations, lock/unlock rehearsal rooms, conduct room checks, assist backstage during concerts, communicate with concert guests, and assist with projects as needed.

Hours: Flexible afternoon, evening, and weekends as scheduled. Regular weekly shifts are scheduled for the entire semester, typically 4-8 hours per week. Live concerts and events will supplement the regular weekly hours, up to an additional 4-8 hours per week during peak performance season. Hours vary depending on the calendar of events and staff availability.

Who We're Looking For: Motivated students to assist with daily operations (weekly rehearsal set-up/breakdown, building security, etc.) and to support live events (stage management, front/rear of house duties, guest experience, etc.). Team members must enjoy working with the public, demonstrate excellent customer service skills, and understand performance etiquette. This position requires leadership, responsibility, professionalism, dependability, and punctuality. Team members must remain on-site for the entire assignment, wear appropriate attire, and have a welcoming presence.


AV Technician 

Supervisor: Nicholas Strawn <nas158@case.edu>

Training provided by Graham Rosen, Audio Recording Engineer, and Ken Wendt, IT Coordinator

Description: Provide audio recording and live stream services for ensemble concerts, student recitals, and recording sessions. Move equipment during events, demonstrate equipment to users, and complete post-production work. Coordinate weekly (with supervisor) for assigned work and provide updates on completed work. Students may pair this position with the Operations/Events Team or Computer Lab Monitor.

Hours: Flexible evenings and weekends (cover events as needed). Events are typically more frequent toward the end of each semester (Fall: Oct-Dec/Spring: March-May). Time commitment per concert or recital is approximately 2-4 hours.

Who We're Looking For: Reliable students eager to learn (knowledge of fundamental recording techniques is preferred but not required). This position is responsible for setting up, installing, operating, testing, and troubleshooting audio microphones, speakers, projectors, monitors, recording equipment, and cables/wires. With guidance from the professional audio engineer, students will perform proper line and sound checks (volume settings, comping, mixing, and mastering), adjust levels as needed, note any faulty/broken equipment, organize equipment for the next service, and properly clean/store equipment. This position requires responsibility, professionalism, dependability, and punctuality. Individuals must work independently, keep an accurate schedule, arrive on time, meet deadlines, prioritize jobs, and interact with the general public, students, faculty, and other staff members.


Computer Lab Monitor 

Supervisor: Ken Wendt <kxw295@case.edu>

Description: Monitor The Core Mac Computer Lab in Haydn Hall Rm 16, sign out personal recorders and other AV equipment to ÐÇ¿Õ´«Ã½ affiliates, check returned equipment for damage, notify supervisor of faulty/damaged lab equipment, clean computer monitors and accessories, and organize office supplies.

Hours: The supervisor will determine open lab hours.

Who We're Looking For: Responsible students with working knowledge of computers and printers. Individuals must enjoy working with the public and demonstrate excellent customer service skills. Solid Mac/Apple computer experience and fundamental troubleshooting skills are preferred, but not required. Experience with digital audio technology (Logic Pro X, Ableton, mixers, microphones, interfaces), video technology and editing (DLSR cameras, camcorders, iMovie, Final Cut Pro X, Adobe After Effects), and web editing skills will be given priority but are not required.
