Student Employment Records

Description Documents student employee work history, including
  • Hiring and termination
  • Compensation
  • Time and attendance
Confidential Information Present

Personally identifiable (non-directory) student information

Other Offices Convenience copies maintained by other units should be destroyed by shredding or file wiping when no longer needed for administrative purposes. Convenience copies should be kept no longer than the periods specified for the Office of Record.
Keep 5 years after employment, then destroy by shredding or file wiping.

  • Job applications, resumes
  • Campus Job Employment Referral
  • Letters of recommendation
  • Performance reviews
  • Awards and commendations
  • Emergency contact information
  • Employment Eligibility Verification Form (I-9)
  • Tax confirmation and permission to work forms
  • Time sheets and cards, attendance forms
  • W-4 and state withholding forms
  • Related correspondence, including email
