What to Include in a Letter

Affirmative Action Data Collection

Please note:  All candidates applying for faculty positions at ÐÇ¿Õ´«Ã½ must receive an email (where an email address is available) requesting their participation in the collection of voluntary affirmative action data using the ÐÇ¿Õ´«Ã½ Affirmative Action Survey.

A sample email might read:

Dear (insert name of applicant),

The Department of (insert name) has received your materials in application for the position of (insert position title) at ÐÇ¿Õ´«Ã½. Thank you for your interest in our department.

As an equal opportunity/affirmative action employer, ÐÇ¿Õ´«Ã½ is required by federal regulations to collect and retain personal information about applicants. We are requesting that you complete the voluntary and confidential online survey at Affirmative Action Survey.

Completion of the survey is optional and will not affect the status of your application. The information collected is confidential and goes directly to the Faculty Diversity Coordinator, who reports aggregate data annually.

Sample Rejection Letter:

Dear (insert candidate's full name),

On behalf of the Search Committee, I am writing to follow-up on an earlier correspondence and inform you of the status of the search for (insert position title) in the Department of (insert Department name) at ÐÇ¿Õ´«Ã½.

The committee has reviewed the qualifications of a large number of applicants and has identified a short list of candidates whose experience we judge to be more suitable to the department's needs at this time. We wish you continued professional success, and thank you again for your interest in the position and in ÐÇ¿Õ´«Ã½.
