Auxiliary Activities Policy

Tabling opportunities in Student Centers are available to registered student organizations and university departments to share information or promote an event to the campus community.

All tables must be reserved in advance using the Spartan Reservation System. 
External and affiliate groups should refer to our Vendor Program policies and procedures to reserve tabling space.

When reserving a tabling table: 

  • Tabling tables are provided free of charge
  • No equipment can be moved. 
  • If food is present, it must comply with Student Centers Distribution and Sale of Food Policy. 
  • No materials may not be stored in Student Centers before or after your tabling times
  • Multiple tables may be reserved but all must be used if booked, there is no ability to keep other groups from tabling at the same time.

For the purpose of this policy, vendors are defined as any of the following entities:

  • Non-university affiliated individuals or businesses providing goods or services directly to guests, students, faculty, or staff and not directly to a hosting organization for their event.
  •  Student, faculty or staff run businesses which are not-university affiliated

The following entities are not considered to be vendors for the purposes of this policy:

  • ÐÇ¿Õ´«Ã½ Departments
  • ÐÇ¿Õ´«Ã½ Recognized Student Organizations
  • Food Trucks
  • Event Caterers 

Vendor Program
Student Centers allows for Vendors to reserve space in Thwing Atrium for the purpose of advertising or selling to ÐÇ¿Õ´«Ã½ students, faculty and staff who may be passing through Thwing Center. 

  • All vendors are assessed a fee to reserve the space and for the right to sell or advertise in Student Centers for the agreed upon amount of time. 
  • All vendors must agree to and sign the current Vendor Agreement
  • Once the Vendor Agreement is signed, it must be reviewed and approved by Student Centers staff to ensure that no prohibited items are intended to be sold
  • If vendors are selling or distributing food, they must additionally provide Student Centers staff copies of their valid food license unless they qualify for the Cottage Foods exemption under Ohio State Law.. 
  • If vendors arrive and attempt to sell prohibited items, or items that are not found on the approved Vendor Agreement their agreement is subject to immediate termination by Student Centers staff and they may be asked to leave the premises.

Vendor Fair Events
Defined as any event held in Student Center spaces which utilize external vendors, student run non-university affiliated businesses, or allow for direct sales or advertising to guests, independent of the hosting organization. 

  • In cases where these vendors are present as part of the event the vendor fees are assessed directly to the hosting organization as a part of their reservation fee. 
  • The hosting organization is then responsible for the communication of Student Centers policy to vendors and completion of the Vendor Agreement and submission of any other required documents from each vendor they allow present at their event
  • Same restrictions for food and which goods or services may be sold apply.

Transactions at Events 
 Defined as when monetary transactions are occurring between the hosting organization and any guests or passerby.

  • Recognized Student Organizations and Campus Departments hosting events in Student Centers must notify Student Centers staff if they intend to have monetary transactions occurring
    • They are not required to complete a vendor form
    • They are not subject to a vendor Fee 
  • Non-Profit Organizations and External Organizations are required to complete a vendor form and are subject to a vendor fee for the sale of items.
  • In all situations security may be deemed to be necessary under Student Centers security policy
     

Student Centers provide various opportunities to registered student organizations, university departments and community members via posters or fliers to share information with or promote an event to the campus community.

  • Posters/fliers may not be posted on walls, doors, windows, glass or sidewalks.
  • Printed materials may be posted only on designated bulletin boards or hung by Student Centers staff.
  • A group may request that large posters be hung from the beams in Thwing Center Atrium or over the banister in the Eldred Hall Atrium.
  • All printed materials are cleared from Bulletin Boards and other posting locations on a rolling basis.
    • Event Fliers that have dates which have  passed with be removed following the event.
    • Fliers sharing or promoting more general information will be removed after approximately 2 weeks.
  • Individuals or group organizers who tape/post fliers to Student Centers facilities will be subject to charges for the removal of the fliers and repairs to surfaces if necessary.
  • Groups failing to observe this policy may be required to forfeit the privilege of reserving space in Student Centers.
     

Due to the age of our buildings, some spaces are not structurally able to accommodate people dancing in the space.

As such, only spaces found on the following list may be booked for the purpose of performing or rehearsing dancing routines. This list can be found below:

  • Multi-Purpose Room - Thwing Center
  • Excelsior Ballroom - Thwing Center
  • Atrium - Thwing Center
  • African American Room 103 - Eldred Hall
  • Latine Room 111A - Eldred Hall
  • Auditorium - Eldred Hall

While dancing practice / rehearsal spaces are limited on campus, Student Centers reserves certain spaces that can be utilized for dancing to be first utilized for events.

As such, student groups may request to be put on a waiting list for these spaces to be utilized for dance rehearsals but will not be approved for their space reservation request until at most one week prior to the requested date.
 

Student Centers is proud to provide space for groups to set up collection sites for charitable / donation drives. Student Centers provides a dedicated space in both the Thwing Center Atrium and the Eldred Hall Atrium for passive drop-off locations. 

While both of these donation stations are in staffed spaces, they are not actively monitored at all times. As such we recommend that groups plan to collect items on some sort of rolling or regular basis. 

  • Student Centers are not liable for any donations that are damaged or stolen.
  • Groups must provide their own box or other receptacle for collecting donations.

We are unfortunately only able to accommodate a single donation collection at a time, and so groups are limited to two week windows and are approved on a first come - first served basis.
