Presentation For Faculty

The Office of Accommodated Testing and Services has prepared the following information to help our faculty partners navigate the accommodated testing process.

We provide the appropriate testing environment for your students that meets their specific accommodations while maintaining their confidentiality.

A student may choose to take exams in with our staff, in class without accommodations, or with accommodations arranged with faculty.

Accommodated Testing Proctored by Staff

The following details pertain to exams proctored by our staff.  If you intend to provide accommodated testing on your own, see "Accommodated Testing Proctored by Faculty" below.

  • Sent confidentially through Accessibility Information Management System (AIM) to faculty detailing approved accommodations.
  • Student’s accommodations details must remain confidential at all times
  • The information in the accommodation letter is only for the intended recipient(s).  If you have received the information from a student that is not in your course, please notify the Disability Resources staff at disability@case.edu.
  • A link is sent to request its completion.  Only one form, per course, per semester, is needed with information to be used throughout the current semester.  This form is applicable to all students listed in your course and any students that may be added. 
  • Additional sections or cross courses can be copied over by staff on behalf of the faculty. Send a detailed list of the courses to testing@case.edu
  • Faculty should fill out the FAF completely with exam details shortly after receiving it so students can make test reservations in AIM. 
  • Confidentiality of student information must be maintained at all times, including during exams proctored by our staff or by faculty in the classroom or remotely.
  • Once submitted, any additional information or edits can be requested by email to testing@case.edu.
     
  • Students should use their syllabus to make seat reservations in AIM at the beginning of the semester if dates are posted.
  • All exams should be scheduled at least one week prior to a test date.
  • Late requests are accepted but discouraged.
  • Faculty can email the list of test dates to testing@case.edu.
  •  A notification email contains all students who have made a test seat reservation listed, and their accommodated times.  Any discrepancies should be made known to staff as soon as possible.
  • Exam materials sent from faculty using the embedded link in the notification email is confidentially stored in AIM. Testing materials or access information should be made available at least 1 day prior to the test date.
  • Provide the following information at the top of all exams sent to us:
    • Your first and last name
    • Course title and number
    • Exam number
       
  • Staff will facilitate questions during an exam.  Faculty should be available during the testing duration listed in the exam notification email by email or phone.
  • Any test corrections or instructions the class receives will be relayed to the student test by emailing testing@case.edu or calling 216.368.0399.
  • Academic Integrity policies apply to accommodated testing as they do in the standard classroom setting.
  • If a student is unable to take an exam, the instructor will receive a “N-Ƿ” alert through AIM.
  • If a student has already reached out to their instructor about not being able to test, please alert us.
  • Students should work with their instructor to schedule a make-up exam if they have flexible attendance and/or if the class policy allows.
  • Missed exams due to a non-disability related illness, can be worked out with the instructor and Four Year Advisor.
     
  • May occur if extended time overlaps with another class.
  • Students should notify staff by emailing testing@case.edu .
  • Staff must have at least 1 week to work out arrangements with faculty. Alternative times will be as close to the actual class time as possible.
  • Students may request one final per day, if the total testing time is > 6 hours. 
  • Staff will communicate these requests for an alternative date with faculty.
  • Students should make these requests 3 weeks before the first Reading Day.
  • Office hours are open 8 am to 7:00 pm during final exam days.
  • Exams with 3:30 pm start time for the class must be schedule to end by 7:00 pm. 
     

If you are planning to have "Pop Quizzes" please notify staff at least 1 day ahead of time.  We will not be alerting the students of the pop quiz.  Student accommodations are still in place for pop quizzes, no matter how short a quiz may be set for. 

 

  • Send all correspondence pertaining to Accommodated Testing to testing@case.edu, stop into our office in Sears 440, or call us at 216-368-0399.
  • Please note that we do not read email after 5 pm or on the weekends.
  • Our office hours are Monday – Friday 8:00 am – 5:00 pm.

Exams can be delivered by sending a PDF or a MS Word document to testing@case.edu, by uploading the file to the exam link in AIM, or by hand delivering a paper copy to our office. If you have an online exam through Canvas or another platform, please send an email with the password and/or the time the exam unlocks, if your students will be using a LockDown Browser, and if your students will need a proctor.

  • We ask that we have your exams no later than 1 business day before the start of your exam to help staff prepare.
  • If you have special printing instructions for your exam, such as printing double-sided, print in color, etc., make sure you include those details in your email or in the Note section when you upload an exam/quiz to AIM.
  • You, your TA, a department assistant, or a designated person must sign the pick up receipt for your exam.
  • We do not allow students to bring exams back to class or to a faculty member’s office for integrity purposes, unless the faculty has an accommodation with the Office of Equity.
  • OATS staff has the ability to schedule up to 10 repeating quiz appointments for your students in AIM.
  • If your course has repeating (weekly) quizzes, please send us a list of Quiz and Exam dates to testing@case.edu.

Accommodated Testing Proctored by Faculty

Information about testing proctored by faculty

  • Sent confidentially through Accessibility Information Management System (AIM) to faculty detailing approved accommodations.
  • Student’s accommodations details must remain confidential at all times.
  • The information in the accommodation letter is only for the intended recipient(s).  If you have received the information from a student that is not in your course, please notify the Disability Resources staff at disability@case.edu.
  • The FAF (Faculty Authorization Form) should still be completed and noted that you will be proctoring your students with accommodations. 
  • Faculty Authorization Forms must be completed each semester.  We can copy your FAF for multiple sections, please notify us at testing@case.edu. 
     
  • Confidential email can be used to make testing arrangements with a student or bcc to the group of students with accommodations for general information.  
  • Students with accommodations must never be singled out when arranging testing or any other time.
  • During finals, students may request one final per day, if the total testing time is > 6 hours. This also applies to finals proctored by faculty.
  • Alternative arrangements should be made 3 weeks before the first Reading Day.
  • Pop Quizzes must also include a student's accommodated time, no matter how short of a duration the quiz is set for.
     
  • Students should work with their instructor to schedule a make-up exam if they have flexible attendance and/or if the class policy allows.
  • Missed exams due to a non-disability related illness, can be worked out with the instructor and the Four Year Advisor.
  • OATS staff can assist with make-up exams if necessary.
     
  • Staff is available to answer questions about accommodated testing.
  • Staff is available to proctor exams if the student has made a request to do so.  This can be handled on a case-by-case basis and communicated to all parties involved.
