Friendly Contract Routing Reminders
When routing contracts to Procurement, please make sure the following updates are on your contracts before sending them through workflow:
- Standard Payment Terms are net 45
- In most situations, the entity name, client name, or customer name representing the university should explicitly spell out "ÐÇ¿Õ´«Ã½." Please ask the vendor to correct the contract if it states or includes the school name, department name, or other shorthand version of the full university name.
- We are now in the calendar year 2025. Please ensure your contracts represent the correct year.

This guide includes the how-to-buy matrix and quick reference information for the most frequently asked procurement policy questions. Do bookmark this guide's link, and do not download it. We will keep updating the guide as needed.

New Coffee Service Vendor
After careful consideration and evaluation, we have decided to transition from our current vendor, Aramark, to a new supplier, Garden Food Service dba 3rd Coast Coffee (Supplier ID # 0000196548). Atlas Management Corporation Dba American Coffee Services (Supplier ID # 0000012016) will continue as a vendor. This change is part of our ongoing efforts to enhance the quality, value, product offerings, customer service, and sustainable solutions offered to departments on campus related to coffee service vendors. Coffee tastings and machine demonstrations for interested departments will be held in mid-January. For departments interested in changing equipment, learning about the wide selection of brands and product offerings, and sending a representative to a coffee tasting, don't hesitate to contact Mary Luberger and Laurie McCulloch.
